The Challenge: Moving to modern work without outdated tools
MinebeaMitsumi's building in Villingen-Schwenningen is currently being rebuilt floor by floor for modern work: fewer fixed desks, a higher shared-desk ratio, plus two to three days of mobile work per week with freely chosen office days. For the rebuild, entire areas were cleared out and departments merged. Suddenly, two different organizational units shared one space, including the need to sort out who sits where, and when.
The existing tools quickly reached their limits: a booking tool developed in-house during the Covid pandemic by a colleague who has since retired could neither be extended nor administered, and new employees could no longer be added. Workarounds such as Excel lists and verbal agreements proved error-prone, scattered, and hard to keep track of.
In addition, IT required a lean solution: within the 16-person IT team, around four people handle user support. The new tool couldn't come with complex administration, had to be easy to hand over immediately to a deputy, and had to offer seamless integration into the group's Google Workspace environment.
