The Challenge

As Unzer formed a group out of numerous acquired companies within just a few years, complexity grew along with the business. Alexander Nuzinger, Manager Corporate Development, heads Internal Services at Unzer and was tasked with bringing office management across all locations to a consistent standard: the same setup, consolidated processes, a shared identification with the brand.

When it came to workspaces, the operating principle until then was first come, first serve. There was no booking system, and as long as there were enough desks, that worked. It changed abruptly as teams across the locations grew. On the popular office days between Tuesday and Thursday, space got tight and the first bottlenecks emerged.

For planning purposes, one thing became clear: a shared desk policy without a booking system only works as long as it isn't needed. As soon as a location adjusts its space capacity in the era of hybrid work policies, the employer has to create transparency about who sits where and when. On top of that came a second, long-term question: how does the group actually use its spaces? Responsible for the post-Covid real estate strategy, Alexander needed solid data for space planning and upcoming location projects instead of gut feeling.

Why PULT

Unzer listened to pitches from several established providers. The decision went to PULT, for three reasons:

Transparent Desk Booking as the foundation of the flex desk policy. Bookable workstations, transparent for all employees, across all locations — exactly the function Unzer's hybrid model is built on.

Full control via self-service. Administrators manage floorplans, rules, and settings entirely on their own, without filing a ticket for every change. One pitch detail stuck: even a dog-friendly desk could be set up out of the box with its own icon.

Speed and closeness. What was promised in the pitch was delivered fast — up to and including requirements that flowed directly into product development.

In Action

Today, seven of Unzer's eight locations run on PULT, with the eighth in Denmark following by the end of September. 685 active users organize themselves across 592 bookable desks, from the Berlin office to the new Hamburg location — with a technical setup that took just a few weeks.

With Presence, Unzer then went a step further. The presence detection meets even the strict security requirements of a regulated payment company — for the planning and compliance team, proof of how closely PULT builds around its customers' needs: "It was genuinely fun adapting the platform to our complex requirements together with PULT."

The rollout was fully GDPR-compliant and closely aligned with data protection. The Presence space data feeds weekly and monthly reports per location and as an overall picture: the basis for space planning, the economics of space versus usage, and the safety dimension — in an emergency, it's clear who is in the building. Visitor Management is planned as the next building block, so guests are cleanly documented too — a regulatory requirement Unzer has covered with an in-house solution until now.

Results

The shared desk policy demonstrably works. The model has been in place since 2023, and with PULT, Alexander can prove it: booking runs smoothly across all locations and PULT is firmly embedded in daily routines.

Organizational effort has been cut in half. The heavy communication overhead a hybrid model means without a booking system is gone entirely: "An enormous time saving and relief, also because it's so intuitive," says Alexander. In day-to-day operations, his team spends very little time on the topic.

Full backing internally. Management explicitly supports the rollout — for employees, that means anyone coming into the office reliably finds a spot, and bookings reflect reality.

Accurate occupancy data with zero manual effort. Employees no longer confirm bookings; only those who haven't booked anything get a reminder. Presence was firmly part of the daily routine within a short time — "we have genuinely accurate data now."

A data foundation for future space planning. For upcoming changes such as moves or space adjustments, the team can calibrate new spaces to precisely the right target size, for the first time based on real usage data instead of assumptions — with substantial savings potential already identified.
