The Challenge
PAWLIK Group is an international consulting company in personnel development, HR consulting, and process digitalization. Like many companies, PAWLIK had to adapt to hybrid work almost overnight when COVID-19 hit. With employees split between remote, home office, and 15 international locations, managing physical office space turned into a real operational problem.
Before PULT, PAWLIK employees used Outlook to book workstations on the days they wanted to come into the office. It worked in theory. In practice, it produced two recurring problems: people would book the same desk without seeing it, or they would show up without any booking at all. Both led to the same outcome: someone walking into the office and finding no place to work.
For a consulting business, the problem was sharper than for a typical hybrid team. PAWLIK consultants travel constantly between locations. A consultant arriving from one office into another needs a workstation, sometimes a meeting room, sometimes parking. Without a system that handles all three, every visit turned into a coordination task. Josefine von der Ohe, as Head of Office Management, was the one tasked with finding a real solution.
Why PULT?
The decision came down to fit. After running on an Outlook-based booking workaround that produced overbooking as the norm rather than the exception, PAWLIK needed a real tool. The bar was clear: it had to handle three things at once. Desk booking across distributed offices, meeting room management for client-facing work, and resource coordination for traveling consultants. Most office management tools handle one of those well. Few handle all three without forcing the team into separate workflows.
PULT covered the full scope. The MS Teams integration meant employees could book without leaving the tool they already worked in every day. The Personio integration kept the employee data layer clean, so when team composition changed, the booking system kept up automatically.
PULT in Action
With PULT in place, PAWLIK replaced its Outlook-based booking with a single self-service system. Employees book their workstation, meeting room, or parking spot through MS Teams. The booking is visible to everyone, which eliminates the double-booking problem at the source. Consultants moving between PAWLIK offices can see what is available at each location and book ahead, rather than improvising on arrival.
The Personio sync handles the back end. When someone joins, leaves, or changes role, PULT reflects it without manual updates. For a 500+ workplace setup across 15 locations, that automatic data flow is the difference between an admin tool that scales and one that breaks under its own weight.
